Privacy policy
Last updated October 22, 2026
Create Close Own is run by Fast Track Movers Inc. of St. Paul, Alberta. This policy explains what personal information the service handles, why, and what you can do about it. It follows Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's PIPA.
Two kinds of people use this
- Customers: the businesses that subscribe, and the owners and closers who sign in.
- Their clients: the people a customer quotes, invoices, texts and emails through their instance. If you got a message from a business and landed here, that business is the one holding your information; the service only carries it for them. The unsubscribe link in every email and replying STOP to any text stop the messages, and the business can see that you did.
What we collect from customers
- Account details: name, email, a password we store only as a hash, and when you last signed in.
- Business details you enter: business name, address, tax numbers, phone, email, website, logo, price list.
- Billing: your Stripe customer and subscription ids and the subscription's status. Card numbers never touch us; Stripe holds them.
- If you connect texting: your Twilio account id, your Twilio number, and your Twilio auth token, which is stored encrypted and used only to send and receive your messages.
- Technical: a session cookie that keeps you signed in, server logs with IP addresses kept for about 30 days for security, and push-notification subscriptions for the devices you turn notifications on for.
What customers put in about their clients
Names, phone numbers, emails, addresses, job dates, quotes, invoices, notes, the messages exchanged, and the answers clients give on the feedback form. The customer decides what to enter and is the one responsible for collecting it fairly. We store it in that customer's own database and use it only to run their instance.
Why we use it
- To run the service: sign you in, keep your pipeline and documents, send the emails and texts you set up, deliver notifications, bill the subscription.
- To support you when you ask. A member of our team may look at your instance to answer a question or fix a problem, and only for that.
- To keep the service safe: rate limits, abuse checks, backups.
We do not sell personal information, do not use your clients' details for our own marketing, and do not train models on your data.
Who else handles it
- Railway hosts each instance and its database, with daily backups.
- Resend delivers the emails sent on your behalf from mail.createcloseown.io.
- Twilio delivers your texts, through your own Twilio account.
- Stripe handles the subscription payments.
- Web push (Apple, Google and Mozilla push services) delivers notifications to the devices you enable.
These providers may store data outside Canada, including in the United States, and are bound by their own privacy commitments and our agreements with them. We do not give anyone else access unless the law requires it.
How long we keep it
- While the subscription is active: as long as it is in your instance. You can delete leads, clients and documents yourself at any time.
- After the subscription ends: 90 days, then the instance and its backups are deleted. Email us to have it deleted sooner.
- Billing records: as long as tax law requires, which in Canada is six years.
Your rights
You can see, correct or export the information in your instance at any time from inside the app. A customer can ask us for a copy of everything we hold about their business, to correct it, or to delete it, by emailing hello@createcloseown.iofrom the owner's address; we answer within 30 days. A client of a customer should ask that business first, since the information is theirs; if that does not work, email us and we will help. You can also complain to the Office of the Privacy Commissioner of Canada.
Security
Every instance has its own database, passwords are hashed, Twilio tokens are encrypted at rest, traffic is encrypted in transit, and the public endpoints (quote form, feedback form, unsubscribe) are rate limited and tokenised. No system is perfectly secure; if we learn of a breach affecting your data we will tell you promptly and say what we are doing about it.
Cookies
One cookie keeps you signed in for up to 30 days. One remembers which Documents tab you had open. There are no advertising or tracking cookies.
Changes
We may update this policy. Material changes are announced by email to the owner before they take effect.
